Option 1: Site License

Using this option, users at your site can access PEN through any terminal at a specific site or sites. Access to PEN is instant and does not require users to enter a username or password. Site licenses are primarily purchased by large health care organizations, and university and health care institution libraries.
Institutions purchase “concurrent licenses” which are shared throughout the site. The number of concurrent licenses purchased determines the maximum number of people who can login to PEN simultaneously. Institutions must purchase 1 license for each 3 Full Time Equivalent staff members who will access PEN. This should provide your facility with enough licenses to ensure everyone can access PEN when required. For example, if 15 people require access to PEN, 5 concurrent licenses are to be purchased; 5 of the 15 people would therefore be able to access PEN at the same time. In certain facilities, where more staff are regularly logged into PEN you can experience peak time bottlenecks. If this is a regular occurrence consider purchasing additional licenses. For all site licenses, a minimum of 3 concurrent licenses must be purchased.
The users of the site license will need to identify one person as the account administrator. This person is responsible for placing the order, entering/updating IP addresses, entering/updating facility contact information and acting as the main contact for technical support issues, should it be necessary. The account administrator does not have to be one of the users who will be accessing PEN.
Advantages of this option:
- Users do not require a username/password to access PEN. Access to PEN is seamless.
- The account administrator doesn’t have to assign licenses to users
- Can be easily set up in an institution or large organization
Disadvantages of this option:
- Will require the help of your facility technical staff to identify your IP (Internet Protocol) address(es)
- Users can only access PEN while located at the institution. (Alternatively, users can access PEN from outside of the institution by using a VPN or “Virtual Private Network.” Users should speak to their facility’s Information Technology group to see if this option is available to them.)
- If the maximum number of people are already accessing PEN (as determined by the number of licenses purchased), no one else can access PEN until one of the people currently accessing PEN logs out or unless they have their own individual license purchased separately.
- There is no price advantage (discount) to DC members over nonmembers
Requirements:
- The location must have static IP addresses (most institutions use static IP address. Speak to your facility’s Information Technology group if you are not sure). If you do not use static IP address but would still like to use a Site License, contact us.
- One person must act as the account administrator on behalf of the institution.
- A minimum of 3 concurrent licenses must be purchased.
PEN Site License Access Prices (1 year subscription):
The price paid for a site license depends on the number of concurrent user licenses purchased. A maximum of three users are allowed for each concurrent license purchased.
NOTE: Additional user licenses can not be purchased once your order is received until your subscription is up for renewal.

Option 2: Group Subscription

Using this option, each group member is assigned an individual username and password to access PEN. A group administrator purchases PEN on behalf of a group. The administrator must then assign all the licenses purchased to the group members and update the system when someone leaves or someone new is hired. The account administrator does not have to be one of the group members who will be accessing PEN.
Advantages of this option:
- Group members use the same username/password to access PEN as they do to access Dietetics@Work
- Group members can access PEN from any location that has an internet connection.
- Each group member is assigned their own username and password. This ensures they will always be able to login to PEN no matter how many other group members are using PEN at that time.
- Does not require any technical expertise or help from your facility’s Information Technology group
- DC members of the group receive a price advantage (discount) over nonmembers
Disadvantages of this option:
- Account administrator must manage all licenses purchased including assigning them to group members.
- Group members must use a username and password to login to PEN at all times.
Requirements:
- One person must act as the account administrator on behalf of the group
- For all group subscriptions, a minimum of 5 licenses must be purchased.

NOTE: Any "group" can qualify for a group subscription discount. While you do not necessarily need to be from the same institution, we can only accept one payment from the group. We therefore require one person to assume responsibility to make the payment on behalf of the group, administer the allocation of passwords and to coordinate any changes to the group subscription.

If you have already registered as a group for PEN and would like to switch to the site license option, contact us.
Purchasers will have full access to PEN as soon as payment is received in full. If paying by credit card, you will be given immediate access to PEN. For those paying by cheque, you will receive access to PEN once we receive and processed your payment. On average it takes 5 business days for us to receive a cheque by mail and process the payment. An email will be forwarded to you confirming your purchase and will contain your username and password which will be used to access PEN. For group orders, you will be able to assign usernames and passwords to others up to the total number of licences purchased. Purchasers will have access to PEN from the Dietetics @ Work web site for a one year period from the date of purchase. We reserve the right to deny or revoke access to PEN, until full payment is received, at our sole discretion. See our License Agreement & Terms of Use for further details.
